Terms of Sale
We currently accept Visa, MasterCard, American Express, Discover Card, Paypal, Purchase Orders, ACH and Wire Transfers. All credit cards are charged at the time of purchase.
Net 30 / Purchase Orders
We will gladly accept your purchase orders after your credit application has been approved. Please send us a completed copy of our credit application, plus credit references, to email@example.com or via fax at 1-877-632-4875. All requests will receive a response with 1 business day.
Automated Clearing House (ACH)
We can accommodate transfers directly to our bank. Please contact us to set up an ACH transfer.
International Wire Transfer
International wire transfers are accepted for a $35.00 transaction fee.
Web Store Pricing
Although we strive to have accurate product and pricing information, we reserve the right to change the products price due to price increases or errors. We will contact you for approval before shipping any order that may be affected by a change in pricing.
We charge Sales Tax for all orders shipping to any State that require us to collect Sales Tax under their State Laws. If you have a Tax Exemption Certificate please email it to firstname.lastname@example.org and note your order number, we will credit the tax charged and setup your account so it is not charged on your next order. You can also email your PO and Tax Exemption Certificate to email@example.com. We will call you for your credit card once everything is setup.
Base Rate shipping charges are added to each order prior to checkout and you may be asked to approve additional shipping charges for heavy items or international shipments.
Free shipping is offered on select items. Free shipping on select items is available only within the continental United States. Exclusions apply for Alaska, Hawaii, and US Territories. Items shipped via the "Free Shipping" method will always be shipped ground. When the item is eligible for free shipping, a green notification will show on the product page and in the shopping cart. Shipping will apply for additional items that are not eligible for free shipping.
Please select International Shipping or submit your collect account at time of order. You may email your UPS, Fedex or DHL Account Number to firstname.lastname@example.org or request a freight quote before entering your order. International shipments are F.O.B. our store in Everett, Washington, unless otherwise arranged with our Sales Representatives.
International Shipping: Customs Charges and Other Fees
Your chosen carrier may charge custom charges, taxes, and other fees, including brokerage fees. These are not included in our shipping quote price. You are responsible for all customs fees, taxes, and brokerage fees. Please speak with your carrier to obtain an estimate of the total taxes and fees.
Will-Call or Collect Shipments Older Than 30 Days
We will not be responsible for loss or damage to orders that are older than 30 days and have not been picked up by the customer.
All orders ship complete unless otherwise authorized. To authorize partial shipments, please select “Ship Partial” at the time of order. You will be charged for each additional shipment. After selecting ship partial, your will receive a shipment for the items as they become available. For special arrangements, please call us.
We are happy to accommodate many shipping requests, such as leaving an item at a specific door. Please contact us before your order ships to request additional accommodations. Once an order ships you may incur additional costs for any changes to the shipment.
All items are listed in our online catalog regardless of availability. The best way to check manufacturer stock and availability is to contact us. Most items not in-stock ship within 4 to 7 business days. Items with a sales price of .01 is for cross-reference information only and is not an item we can sell.
Lead Times Shorter than 25 Days
We will contact you via email if a lead time is confirmed to be more than 3 business days, but less than 25 days. Your order will be processed at this time, and our cancellation policy will apply.
Lead Times Longer than 25 Days
By law we are required to hold any order with a lead time longer than 25 days until you acknowledge and approve of the estimated shipment date. If your lead time is longer than 25 days we will contact you immediately via phone and email, and your card will not be ran without your approval. You must approve of this lead time before we continue to process your order.
Returns & EZ-Cancellation Policy
You must contact our Returns Dept. for a Return Material Authorization (RMA) before returning a product! Products returned without authorization will not receive credit.
Returns on most items are accepted within 30 days of purchase. Items must be new, in original packaging, and never installed. For non-stock returns you may be charged from 15% to 35% re-stock fee which is set by the respective manufacturer. You must contact our Returns Dept. for a Return Material Authorization (RMA) before returning a product. The shipping cost of returning a product is the responsibility of the customer. Returns may take 4 to 8 weeks to completely process.
All warranty return policies are set by the respective manufacturer and this policy may differ from manufacturer to manufacturer. Most manufacturers’ warranties cover a period of 1 year if the item stops functioning properly or breaks. We will process your warranty claim for items purchased directly from our store. Warranty claims may take 6 to 8 weeks to process.
All warranties said or implied by the respective manufacturer will be the sole responsibility of the respective manufacturer to replace warranty materials. MechTronics Controls, LLC (DBA hvacUSA.com) is not liable for any defects in materials or warranties said or implied by the respective manufacturer.
If you are in need of a replacement part immediately you must place a new order. A credit will be issued to your account if/when the factory issues HVAC USA a credit. In some cases, the manufacturer will issue a replacement part rather than credit. HVAC USA reserves the right to issue the replacement part in lieu of a credit if the respective manufacturer provides HVAC USA a replacement part rather than credit.
HVAC USA Replacement Warranty
HVAC USA offers a Two and Three year replacement warranty. If this option was added to your order at time of purchase, your item(s) will be covered for a period of three (3) years OR two (2) years from date of purchase against normal wear and tear, depending on selection. If any item purchased with a replacement warranty is determined to be defective through normal use of the product, HVAC USA will repair or replace that product free of charge. This warranty does not cover damage caused by power surges, water damage, acts of God, or misusing the product in a manner it was not intended for.
If you need to return an item that is covered by the HVAC USA Replacement Warranty, please refer to the same procedures listed above for warranty returns.
If an order has not shipped from the factory you may cancel for any reason. Cancellations will be processed same day and refunds will be issued immediately for credit card orders, and 1-2 business days for Paypal orders. If the order has shipped our returns policy will apply.
Some of the products listed on our website require installation and maintenance by certified professionals. Improper installation or use of a product may result in property damage, injury, or death. MechTronics Controls, LLC (DBA hvacUSA.com) will not be held liable for property damage, injury, or death resulting from use of these products. Some products we offer are purchased through 3rd-party vendors that distribute directly for some manufactures listed, these products carry the same warranty. Please contact us with any concerns and we will gladly address them.
